What to ask a balloon decorator before you book

Updated October 2026 · General guidance, not advice about any specific business.

The best time to clear up misunderstandings is before you pay a deposit. Ask what exactly is included, when and how it gets installed and removed, what the venue allows, and what happens if plans change. A good decorator will answer these quickly and put the important points in writing.

Here are the questions worth asking, grouped so you can copy the ones that fit your event.

About the design

  • Can I see photos of work you've done that is similar in size and style to mine?
  • How big will it be? Ask for the length of a garland or the height and width of an arch, not just a name.
  • Which balloon sizes and finishes will you use, and will there be foil accents, greenery or signage?
  • How close will it look to my inspiration photo? Colors on screens differ from real balloons, so ask about matching.
  • Is the design built on a frame or stand, attached to a wall, or hung from something at the venue?

About setup and teardown

  • What time will you arrive, and how long does installation take?
  • Do you need power, a table or anything else from me or the venue?
  • Is teardown included? If not, what should we do with the decor at the end of the night?
  • Do you charge for delivery or travel, and how is that worked out?
  • Who will be on site, and how do I reach them on the day?

About the venue

Venues often have rules that affect balloon decor. Ask the decorator whether they have worked at your venue before, and check the venue's rules yourself too:

  • Are helium balloons allowed? Some venues restrict them because of high ceilings, fans or alarms.
  • Can anything be attached to walls, ceilings or fixtures, and with what?
  • When can vendors load in and out, and is there an elevator or loading area?
  • Does the venue require vendors to carry insurance and send a certificate before the event?

About weather and timing

Latex balloons react to heat, sun and wind. For any outdoor or partly outdoor setup, ask how the decorator protects the design, how early they will install, and whether there is a weather plan. Our guide to indoor vs outdoor balloon decor explains what changes.

About money and changes

  • What is included in the quote, and what would cost extra?
  • How much is the deposit, and when is the balance due?
  • What happens if I need to change the date, the venue or the design?
  • What is your cancellation policy, and is any of the deposit refundable?
  • Will I get a written agreement or invoice that lists all of this?

Answers vary from business to business, and that's fine. What matters is that you understand them before you book and that they're written down.

Signs you're in good hands

Clear, specific answers. Photos of real past work. A written quote that says what you are getting, when it will be installed and what happens if something changes. When you compare decorators, read their profiles and reviews, and check whether the listing is Owner Verified, which means the owner has claimed and verified it. Frequently asked questions

Do balloon decorators take the decor down after the event?
Some include teardown and some don't, and some charge for it separately. Ask before you book and make sure the answer is in your agreement.
Can a balloon decorator match my exact colors?
Often closely, but balloon colors come in set shades and look different from screens. Ask to see the actual colors or photos of them in real light.
What if my venue requires vendor insurance?
Tell the decorator early. Many venues ask vendors for a certificate of insurance before the event, and it can take time to arrange.
Should I get the details in writing?
Yes. A written agreement or invoice should list the design, setup time, price, deposit, balance due date and the change and cancellation terms.
