Booking
How far in advance should you book a balloon decorator?
Updated October 2026 · General guidance, not advice about any specific business.
Reach out as soon as you know three things: your date, your venue and roughly what you want (a garland, an arch, a backdrop or a full setup). There is no single right number of weeks, because it depends on the decorator's calendar, the size of the design and the time of year. What is true almost everywhere is that the best-known decorators fill weekends first, and large or custom designs need more lead time than a small garland.
If your party is close, don't give up: smaller designs and flexible colors are often still possible on short notice. The sections below explain what drives availability and how to make a fast, complete request.
What makes a date book up early
A decorator's capacity is limited by people, vehicles and time on site, not by balloons. A small team can only be in so many venues on one Saturday, so weekend dates go first. A few situations make that squeeze tighter:
- Weekends and evenings, when most parties, showers and weddings happen.
- Busy seasons in your area, such as graduations, holidays and wedding season.
- Large installations, ceiling work and balloon walls, which take longer to build and install.
- Custom colors, printed balloons or specialty foils that the decorator has to order in.
- Venues with narrow setup windows, which leave the decorator less room to fit in another job that day.
A practical timeline by event type
Use these as starting points rather than rules. When in doubt, ask earlier; a decorator can always tell you it's too soon to hold a date, but they can't create an open slot that's already taken.
- Birthdays, baby showers and gender reveals: contact decorators once the date and venue are confirmed. Simple garlands are the easiest thing to book late.
- Weddings and quinceañeras: book decor alongside your other key vendors, because the date is fixed and the design usually needs a planning conversation.
- Corporate events, store openings and brand activations: allow time for approvals, logo colors and any insurance paperwork the venue asks for.
- Holiday parties: the season is short and shared by everyone, so the earlier the better.
What to send in your first message
Decorators answer complete requests faster, and a complete request gets you a real quote instead of a string of questions. Include:
- Date, start time and the latest time setup can finish.
- Venue address, and whether the decor is indoors or outdoors.
- What you want and roughly where it goes: "a garland over a 6-foot dessert table" is far more useful than "balloons".
- Your colors or theme, plus two or three inspiration photos.
- Guest count and type of event, which help with scale.
- Your budget range, if you have one, so the decorator can suggest what fits.
- Access details: stairs, elevators, loading areas and parking.
If you're unsure about size, our balloon garland calculator gives a rough balloon count for a garland length, which is a helpful way to talk about scale.
If your date is soon
Short notice narrows your options, but it rarely leaves you with none. Ask for a smaller or simpler design, stay flexible on exact shades, and ask whether the decorator offers pickup garlands that you hang yourself. Contact several decorators at once rather than one at a time, and say plainly that the date is close so they can answer quickly.
Browse balloon decorators in the directory near your venue, or start from a city page via locations.
Holding your date
A conversation is not a booking. Many decorators hold a date only after a signed agreement and a deposit, so ask how they reserve dates and what happens if you need to change the plan. Read the agreement for the setup time, what's included, the balance due date and the cancellation and rescheduling terms before you pay.
Frequently asked questions
- Can I book a balloon decorator a week before my party?
- Sometimes. It depends on the decorator's calendar and the size of what you want. Simple garlands and flexible colors are the easiest to book late. Contact several decorators at once and say the date is close.
- Should I book the venue or the decorator first?
- The venue, in most cases. Decorators need the address, the setup window and the venue's rules on helium, tape and attachments before they can quote accurately.
- Does sending a quote request hold my date?
- Usually not. Many decorators reserve a date only after a signed agreement and a deposit. Ask each decorator how they hold dates.
- What is the most useful thing to include in a quote request?
- The date, the venue address, indoors or outdoors, what you want and where it goes, your colors and a few inspiration photos.
